Initial Setup

  1. Open the External Visitor Sign In app on the centre iPad (or any browser).

  2. The first time, a staff member needs to tap Staff Login (small link at the bottom of the screen).

  3. Sign in with your Curiosity Tree Microsoft account email and password. Complete multi-factor authentication if prompted.

  4. Select your centre — Morayfield, The Gap, or Burpengary.

  5. Once signed in, the app switches to kiosk mode — visitors can now use the iPad without needing a Microsoft login.

Staff only need to sign in once per device. The session will persist until it expires, at which point the app will prompt a staff member to sign in again.

Setting Up Your Staff PIN

  1. From the kiosk screen, tap Staff Dashboard (small link at the bottom).

  2. Tap Manage Staff PINs.

  3. Enter your full name, email, and choose a 4-digit PIN. This PIN is used to verify Blue Cards.

  4. Tap Add Staff. Your PIN is stored securely in SharePoint and works across all centre iPads.

Forgot your PIN? Use the Reset PIN via Email option to send a reset link to your Microsoft email address.
Every staff member who verifies Blue Cards needs their own PIN. Do not share PINs — your name is recorded against each verification for compliance.

Kiosk Mode — How Visitors See the iPad

Once a staff member has signed in, the iPad displays the visitor-facing kiosk screen. This is what tradies and external visitors will see when they walk up.

The kiosk screen shows:

  1. Returning Visitor — Enter PIN button — for returning visitors to enter their 4-digit PIN (last 4 digits of their mobile number).

  2. First Visit — Sign Up button — for first-time visitors to register their details.

  3. Currently On Site — a list of signed-in visitors with a Sign Out button next to each name.

The kiosk is designed for iPad use. Place the iPad at your reception or entry point where visitors can easily access it.

New Visitor Sign-Up

When a tradie or contractor visits for the first time, they tap First Visit — Sign Up and complete the sign-up wizard:

  1. Step 1 — Personal Details — Title, first name, last name, date of birth, email, mobile number, and home address.

  2. Step 2 — Work Details — Position/trade and business name. They can tick a box to use their own name if self-employed.

  3. Step 3 — Blue Card Verification — The visitor sees two important notices:

    • A device policy notice (no personal electronic devices for photos/videos of children)
    • An ECEC consent notice (details may be shared with the national regulator)

    They then enter their Blue Card number and expiry. A staff member verifies the card (see Section 6).

  4. PIN confirmation — After sign-in, the app shows them their PIN (last 4 digits of their mobile) for future visits.

The visitor's PIN is automatically set to the last 4 digits of their mobile number. They'll use this PIN to sign in on future visits.

Returning Visitor Sign-In

  1. The visitor taps Returning Visitor — Enter PIN and enters their 4-digit PIN on the PIN pad.

  2. The app looks up their details and goes straight to the Blue Card Verification step, showing their name and business.

  3. They will see the device policy and ECEC consent notices each time they sign in.

  4. If their address has changed, they can tick My address details have changed to update it.

  5. A staff member must verify the Blue Card each visit (see Section 6).

Expired Blue Cards are flagged with a red warning. An expired Blue Card cannot be verified — the visitor must present a valid, current card.
Cards expiring within 90 days show an orange warning. Let the visitor know they need to renew their Blue Card soon.

Blue Card Verification

Blue Card verification is a staff-only process. Only a staff member with a PIN can access the QLD portal and confirm the card.

Step 1 — Staff Authenticates

  1. Once the visitor has entered their Blue Card number and expiry, tap Staff: Verify Blue Card.

  2. Enter your 4-digit staff PIN to identify yourself.

Step 2 — Check the QLD Portal

  1. After entering your PIN, the QLD Blue Card portal opens automatically in a new tab. The cardholder’s name is copied to your clipboard.

  2. The app shows a reference card with the visitor's details (name, card number, issue number, expiry) so you can cross-check on the portal.

  3. If the tab was closed, tap Re-open QLD Portal to open it again.

Step 3 — Confirm the Result

  1. If the card is valid on the portal, tap Confirmed Valid — Sign In. The visitor is automatically signed in and the app returns to the kiosk screen.

  2. If the card is not valid, tap Not Valid — Cancel. The visitor is not signed in.

  3. Your name, the date and time are recorded against the verification for compliance.

Expired Blue Cards cannot be verified. If a visitor's Blue Card has expired, the app will block verification and display a red error. The visitor must provide a valid, current Blue Card before they can be signed in.
Visitors who select "Exempt from Working With Children Check" skip Blue Card verification. Their exemption reason is recorded in the register.

Signing Visitors Out

  1. The kiosk screen shows all visitors currently on site at the bottom.

  2. When a visitor is leaving, they (or a staff member) tap Sign Out next to their name.

  3. The sign-out time is recorded automatically.

Forgot to sign out? The app automatically sends an email reminder at 6:30 PM each day if any visitors are still showing as on site. The email goes to the last staff member who used the app, with a copy to jess@curiositytree.com.au.
Staff can also sign visitors out from the Staff Dashboard (see Section 8).

Staff Dashboard

The Staff Dashboard gives you an overview of all visitor activity. Access it by tapping Staff Dashboard at the bottom of the kiosk screen.

  1. Visitors on site — View all currently signed-in visitors, filtered by centre. Sign out visitors who forgot to do so.

  2. Today's activity — See a log of all sign-ins and sign-outs for the day.

  3. Staff Management — Add, edit, or remove staff PINs. Reset a forgotten PIN via email.

The dashboard shows visitors grouped by centre, so you can quickly see who is on site at your location.

Tips & Troubleshooting

App asks to sign in again?
The Microsoft session has expired. A staff member needs to tap Staff Login and sign in with their Curiosity Tree Microsoft account. This only needs to happen occasionally.

Visitor forgot their PIN?
Their PIN is the last 4 digits of their mobile number. If they still can't get in, they can sign up as a new visitor — the app will recognise their details and update the existing record.
All data saves to SharePoint
Every sign-in, sign-out, and Blue Card verification is stored in the TradieSignIns SharePoint list. This data feeds into your ECEC National Worker Register compliance records.

6:30 PM reminder emails
If visitors are still signed in at 6:30 PM, the app automatically emails the last staff member who used the app (with Jess copied). Make sure visitors sign out when they leave to avoid unnecessary follow-ups.

iPad not loading the app?
Check the internet connection. The app requires an active connection to access SharePoint data. Try refreshing the page or clearing the browser cache.
Blue Card verification is a legal requirement
Under the ECEC National Worker Register, all external visitors (tradies, contractors, etc.) who are not exempt must have their Blue Card sighted and verified before being granted access to the centre.
